How it works

From a requested time to an agreed appointment

Each step keeps the latest agreed position clear, without reconstructing it from scattered messages.

  1. Step 1

    Requested time

The customer picks a time, which is a request, not yet a booking.

  2. Step 2

    Check dependencies

Duration, person, resource, location and preparation time.

  3. Step 3

    Explicit confirmation

Both sides see the same, confirmed arrangement.

  4. Step 4

    Reminders and changes

Repeat the agreement and the business's real change route.

01 · Time slot

Define what a time slot represents

An appointment is more than a time shown on a calendar. It can depend on the service duration, the person delivering it, the necessary resource and the location or meeting format.

Write those dependencies down before comparing appointment scheduling software. A slot that appears free may still be unsuitable if the required resource is unavailable or the service needs preparation time.

What this means for you:slots that are genuinely workable, not just empty on a calendar.

02 · Confirmation

Explain the difference between a request and confirmation

Customers need to understand whether choosing a time submits a request or completes a booking. Staff need the same distinction when reviewing availability.

Consider what information would confirm the arrangement and how a changed time would be communicated. Rescheduling and cancellation conditions should be understandable before commitment.

What this means for you:no one leaves thinking they are booked when they only asked.

Request

  • A preferred time
  • Awaiting review
  • No commitment yet

Confirmed appointment

  • Agreed time and place
  • Change route explained
  • Visible to staff and customer

03 · Reminders

Design reminders around the actual agreement

A useful reminder repeats the confirmed time, location and the business's existing change route. The customer should be able to understand how to cancel or reschedule without being promised an unavailable service.

SMS, email or messaging connections require approved providers, appropriate permission and tested delivery and stop handling. Reminder automation and no-show reductions have not been demonstrated.

What this means for you:reminders that inform rather than confuse, and respect the customer's choices.

04 · Changes

Escalate changes rather than silently rescheduling

The intended workflow would flag conflicting requests and late changes for a person. Cancellation rules, deposits, refunds and accessibility arrangements must come from the real business, not a generic assistant template.

A timed service and an overnight reservation require different scheduling models: an appointment concerns a duration and resource; a stay concerns accommodation across dates, occupancy and nightly availability.

What this means for you:a person decides on conflicts, and the right model is used for the right service.

FAQ

Questions you might have

Can I book an appointment here?

No. This page explains a planned workflow; no booking engine or slots are available.

Do reminders reduce no-shows?

That has not been demonstrated. Reminder automation would need approved providers, permission and testing.

How would a first pilot work?

It would test request-to-confirmation states and exceptions using one narrow appointment type.

Design reminders before automating

Read the reminder guide for a manual design checklist while the software remains planned.
