Move an accepted quote into a clear job brief

Confirm which quote the customer accepted

An accepted quote is a starting point, not a complete handoff. Identify the accepted version, date, work included, exclusions and any agreed conditions. A later conversation should not silently replace the original scope. If the requested work changed, the responsible person should obtain the appropriate fresh agreement.

Keep the actual acceptance in the business’s approved system. Do not infer acceptance from an enquiry, an unanswered message or a calendar booking. A team needs to know which document or recorded agreement it is working from.

Translate scope into a concrete outcome

A useful brief explains what the assigned team should deliver and what is outside the job. Replace vague wording such as ‘sort out the property’ with the agreed task, location and relevant quantity or boundary. Include the customer’s actual priority only when it has been confirmed.

Separate facts from assumptions. If the team needs measurements, access confirmation or a photograph, show that as an unresolved prerequisite. Do not allow an assistant-generated summary to turn a missing detail into a confident instruction.

Check access, materials and timing before assignment

Confirm who can authorize entry, the agreed arrival window and any relevant site restrictions. Decide what equipment, material or specialist skill is required. Travel time and preparation can make a calendar slot unsuitable even when the team appears free.

Use a named person to confirm readiness. If a prerequisite fails, pause the handoff and communicate through the actual business channel. Do not invent emergency availability, access permission or a material delivery date to complete the form.

Give the crew a short, usable handoff

A practical handoff contains the accepted scope, location, arrival window, responsible person, required materials and a clear exception route. Keep it concise enough to use on site. Link to the authoritative quote rather than copying several slightly different versions into separate messages.

Limit customer information to what the assigned team needs. Sensitive or unrelated details should not be carried into the job brief. Access rights, retention and device handling need the business’s real policy; this article is not a substitute for one.

Define completion and changes before the work starts

Agree how the team will record completion, what evidence is appropriate and who confirms that the outcome meets the scope. A photograph may be useful for some jobs, but it is not automatically appropriate for every property, person or situation.

If extra work is discovered, record it as a proposed change. Decide who can authorize it and how the customer will receive the revised scope and price. Do not treat the crew’s observation or an assistant suggestion as authorization to perform chargeable work.

Use a small checklist before automating

The minimum handoff is: accepted version, clear outcome, exclusions, prerequisites, assigned person, timing, exception route and completion decision. Test this manually on one job type before connecting messages, dispatch or invoices.

NivoDesk Pro’s field-service and quote modules are planned. They do not currently create quotes, dispatch staff or take payments. The proposed assistant would organize approved information for review; the business would retain responsibility for prices, commitments and decisions. Explore the field-service draft to see where those handoffs would fit.
